Position: Executive Administrative Assistant

The Position:
The Executive Administrative Assistant will join ANWOL’s Admin Department, supporting the Operations function of the organization. The Executive Administrative Assistant is responsible for providing a wide range of executive level and advanced administrative support to the Co-Director(s) and to the Management team and staff. Responsibilities involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion, and judgment. Assumes responsibility for special projects, assists in maintaining databases; researches/analyzes data and develops reports for management decision-making; may follow up on projects assigned to managers by senior executive.
Primary Responsibilities Include:
- Acts as the primary administrative point of contact between Co-Director(s) and internal/external demands.
- Provides administrative support to Co-Director(s) including but not limited to detailed calendar management, expense report management, mail processing, invitation coordination and travel coordination.
- Handles Co-Director(s) requests and queries promptly and appropriately.
- Maintains confidence and protects the organization by keeping information confidential.
- Exercises initiative to overcome obstacles that may arise due to changing conditions.
- Assists with special projects, events, and staff trainings as needed or assigned.
- Provides general administrative support around office as needed.
- Supports front office staff in greeting visitors, answering any questions, providing directions and alerting staff when someone is there to meet or visit them.
- Provides training and support to other Administrative staff.
- Handles filing and data entry as requested.
- Other duties as assigned.
Qualifications:
- Strong organizational, schedule management, project management, and problem-solving skills with excellent multi-tasking abilities.
- Excellent interpersonal and written communications skills.
- Ability to organize complex material and manage multiple projects at a time.
- Great analytical skills as some duties may be of a complex nature, requiring judgement for when there are no precedents.
- Ability to work flexible hours, including some evenings and weekends.
- Ability to work both independently and collaboratively with a wide range of constituents including staff, volunteers, donors, and program participants.
- Proficient in Microsoft Suite programs, proficiency in database programs, including but not limited to SalesForce, Apricot, Air Table, Microsoft Access.
- Bilingual (Spanish) Preferred
Salary: $26 to $28 hourly starting rate, based on experience, with availability of medical, dental and vision benefits, retirement plan matching, life and AD&D
